Wedding Packages - Example Letters for Guests to Encourage B&B use
Wedding Planning > Our Bedrooms
- See this page for Sample letters to guests inviting them to Stay at the Castle. Our letters explain for you why they should book in to stay with us instead of paying for taxis to & from local B&B or risk drink-driving. For more Room Reserving Guidance, see our Castle Accommodation Guide Index or scroll to bottom of page.
Below there are two letters.
The first is a sample letter you might use part or all of in an invitation that you send from yourself, to your guests. It is designed to help your wedding guests understand the importance of staying at the castle when you have booked your wedding under the Special Wedding Package. It is suggested you put the letter into your own writing style and shorten, rephrase or remove individual sentences as you feel appropriate.

Good quality en-suite accommodation is available at the Castle. There are 25 en-suites, including 6 large family rooms, sleeping 81 guests in all, and a number of smaller non en-suite rooms sleeping a further 19 guests.
B&B at the castle is £75 per wedding guest, based on two sharing. You can view the en-suites, starting with room 11, here: http://www.craigynoscastleweddings.com/castle-wedding-venue-wales-disabled-triple-ab11.html Click on the first page (room 11) then press 'next page' to go from room to room.

We have an arrangement with the Castle that as long as 50 guests stay overnight, the castle will reduce its normal venue hire fee. Our Special Wedding Package saves us around £2,000 in venue hire fees and other costs as against their regular wedding tariff. However if less than 50 guests stay, we must 'make up the difference' ourselves. So if you were to stay elsewhere, we might end up paying for your unused accommodation at the castle, as we have to cover any empty rooms! Please support us by staying at the castle, as this enables us to secure a waiver of the castle's venue hire fees.
Also the castle tells us the police are quite active in the Upper Swansea Valley, having little to do in this rural part of the Brecon Beacons National Park. They sometimes wait just south of the Castle to check motorists travelling south towards Abercrave and Swansea. Taxi drivers, lacking any return fares, charge a premium just to come up as far as the castle. They need booking in advance and many are unwilling to leave the more heavily populated areas on Friday and Saturday nights, when their town centre trade is at its peak. Taxis are around £12 - £16 each way, for a two mile journey.

So we hope you'll agree it is more practical to stay with us so our wedding party can all be together under one roof. You won't have to worry about how much you can drink before driving to separate accommodation in the early hours. Neither will you have to wait ages and pay a premium just to get a taxi. Why not make the most of the day (and night) and party with us till the bar closes around 1-2 am!
As guests of our wedding, you can stay two nights and get a 30% discount on the second night's accommodation, provided one night falls on a Sunday to Thursday. Subject to availability you can stay at the castle the night before and save a journey on the wedding day, as the Castle's B&B tariff is reduced to £105 for a double en-suite on the 'second' night of any two-night stay. The normal wedding tariff applies to the wedding night (which counts as your 'first night') and the 'second' night, before the wedding, is discounted by 30%.
We look forward to seeing you both [seeing you and your family / insert names] on the [date of wedding].
Best wishes,
Bride and Groom.
PS. Booking in time is 3.00 pm. As our wedding ceremony is at [insert time], should you need somewhere to change before booking in to your room, there are changing facilities, showers, and lockers in the castle's sports room - see http://www.breconbeaconshotels.com/hot-tub-gym.html You may want to pack a separate bag for a quick change on arrival - to avoid driving a long distance in a smart dress/ suit.

Variations on this letter might be required to take into account the following:
---
(1) Some brides subsidise some or all of their guests.
Any subsidy you give will need mentioning in the letter. You might state: "While B&B at the castle is £75 per wedding guest, based on two sharing, we have secured [are part subsidising the rooms in order to give our guests] a small discount of £20 per person, so the cost for each guest is just £55 B&B per person."
(2) Weddings on a Friday may find there is ample accommodation available the night before, on the Thursday. You may wish to encourage long distance guests to stay the night before.
If so, add: "There are some vacancies at the castle the night before our wedding. As one of our wedding guests, subject to availability, you can stay two nights and get a 30% discount on the second night's accommodation, provided one of the two nights falls mid-week (Sunday to Thursday night). The 'second' night counts as the night before the wedding and is discounted by 30%. This means on the night before our wedding, as part of a two night stay, the Castle's B&B tariff is reduced to just £52.50 per person sharing a double en-suite.
Possible additions to the letter - pull text from this section for either the letter above or below, and re-write as appropriate in your own words.

Special Wedding Package - exclusive use arrangement
The Bride and Groom have booked a Special Wedding Package that gives them discounted exclusive use of the castle if all the accommodation is used. So long as 50 guests to stay overnight, the castle reduces its normal venue hire fee.
This Wedding Package saves the Couple around £2,000 in venue hire fees and other costs against the regular wedding tariff. However if less than 50 guests stay, the couple must 'make up the difference', paying for any unused rooms themselves. So if you or any of their guests were to stay elsewhere, the Bride will end up paying extra for unfilled accommodation at the castle, as they have to pay for any empty rooms!
Please support the Bride and Groom by staying at the castle, as this enables them to secure a full waiver of the castle's venue hire fees.
Booking in times & changing facilities
Booking in time is 3.00 pm. Letter Additions and
Supplementary text you can adapt
___________________________
As a guest you can stay the night before the wedding at 30% discount on B&B if staying two nights (£105/ en-suite double), subject to availability. Fridays have less availability for guests to stay the night before, or no availability when there is a large wedding on. But guests can always book into £70/ room budget rooms in a separate building if en suites are full on the night before.
Avoid travelling on the wedding day -
have an early-weekend break away!
Staying the night before as well, allows for a get-together in the bar and an evening meal ahead of the wedding day, with others staying over at the castle before the wedding. You may want to arrange a pre-wedding get-together for close friends and family attending the wedding, for the night before. There's no need to stay locally if there is space at the castle, and at half the normal room rate. Save yourself an early start and a journey on the day of the wedding! Why not make it an early mini-weekend break over a Thursday and Friday?
Party the night away - as long as you like
The castles name, Craig y Nos, translates as 'Rock of the Night' and we invite you to Rock the Night Away! We hope everyone of our guests will join us at the Castle overnight. This’ll save you having to leave the party early, possibly called away when you’re in deep conversation with friends and relatives to fit in with a prior taxi booking. (Taxis are difficult to book at weekends anyway, because the Castle is in the Brecon Beacons, away from any town where taxis can get repeat trade). The bar stays open till late and there's nothing better than being able to unwind with a few drinks and not having to drive anywhere.
As a guest you can stay the night before the wedding at 30% off (£105/ en-suite double room B&B), subject to availability.
(Either)
Some Fridays may be available for guests to stay the night before if the wedding on the Friday is not using all the rooms – otherwise there are budget rooms in a separate building which are available. The Castle will not accept bookings for Fridays more than 6 months ahead, in case a wedding books the date, so will allocate you a room in the budget Nurses Block for the night before and an en-suite for the night of then wedding. Then 6 months before the wedding date, if there is still availability for the Friday night in the en-suites (less likely if there is another wedding is booked), you will be upgraded automatically by the Castle to an en-suite the night before the wedding, at no extra charge. In case this does not happen 'automatically', please diarise to call the castle 6 months before to check!
(Or)
As the wedding is on a Friday this means the Thursday, the night before the wedding, can be taken at half price. There is good availability on Thursdays but you should still book early to be sure of getting the same room on both nights.
